Open Positions for Project Managers

As key role player in Operations team, Project manager is responsible for all preparative, executive and post-event organisational project activities. The role includes coordination of all project elements leading to successful realization of the project developed by the Business developer.  

A project is understood as:

  • Association meeting where C-IN acts as PCO, DMC or corePCO
  • Corporate meeting or event
  • Special event (show, exhibition etc.)
  • Incentive trip

Job description:

Project manager in Operations team

Responsible mainly for:

  • Project budgeting – take over starting budget from business development and update it accordingly as the project is progressing.          
  • Maintain contact with project vendors – negotiations of best achievable conditions.          
  • Presenting of contracts to company signatories. Permanently supervise contractual conditions are followed. Revision of supplier invoices accuracy.          
  • Hold internal and external communication as described below.           
  • Financial planning – permanent control over the project cash flow (revenues, receivables, payables)           
  • Cooperation with supportive departments (registration, scientific programme, finance)          
  • Cooperation with supportive staff (IT, Sponsorship and Exhibition)           
  • Monitoring and checking and approval of all information published in different printed and electronic media (first announcement, second announcement, poster, website, electronic mailings, etc). Project manager is final editor of all printed and electronic materials.          
  • Social programme – suggesting to client different social programme options including but not limited to venue search, catering, decoration, entertainment, transportation etc.          
  • Final project reconciliation – preparing and presenting final budget to the client.          
  • Final report – prepare final report in line with agreed template.                                 

External project communication:           

  • With client as of project is handed over to Operations – presenting offers, budget updates, graphic proposals, results of project departments work, final reconciliation.           
  • With all suppliers.          
  • With local governance/policy makers – on project support if applies.        

Internal project communication:

  • With registration department on registration process setup, permanent update of registration numbers, final reporting. 
  • With Scientific programme department on abstract submission process, permanent update of abstract or any other scientific content, speaker management.          
  • With IT manager on all IT elements of the project ie. Printed and electronic media, graphic works, abstract evaluation process, registration process.           
  • With Sponsorship manager on industry income and performance of services to sponsors and exhibitors.          
  • With Finance department on financial health of the project – invoicing, receivables.  
  • Reporting to Director of Operations.  

Qualifications and skills:         

  • 2+ years of experience in the meeting industry on similar position (PCO, event agency etc)         
  • Client orientation          
  • Business drive          
  • Excellent written/verbal communication and negotiations skills          
  • Accuracy and Target orientation          
  • Willingness to work as project flow requires (flexibility)          
  • Willingness to travel for project preparations and deliveries across Europe          
  • Fluent in English - written and spoken          
  • Proficiency in Microsoft based office tools (Outlook, Word, Excel, PowerPoint)          
  • Driving license category B is an advantage
